Terms and Conditions

Thank you for booking your next party with Beyond the Magic Events! Please read and agree to our Terms and Conditions prior to your event booking. This is to ensure that your party goes according to plan, and that you fully understand your responsibilities as well as ours. Please do not hesitate to ask if you have any questions on the below. 

Bookings

Any correspondence regarding your event should be made via a Beyond the Magic account whether this be Email, Facebook or Instagram.  We will be in contact with you a few days before your event to confirm everything is in order and to go over the final details.

Our packages are recommended for up to 20 children with a strict maximum of 30 per character. We are here to entertain and want every child to feel included in the magic. We are happy to accommodate larger groups but this will require hiring a party assistant or additional character. Please also ensure you update us if numbers of children change prior to the event. We will be in touch leading up to the party to confirm final number of attendees to ensure our games are appropriate for the audience. If we notice on arrival that the number of children present exceeds the amount agreed on, this will incur an extra charge of £30.

Correct party information (including party date, time, address and character) must be provided at time of booking.

Bookings are accepted within a 10 mile radius  in c of the BN27 or TN16 post code.  Bookings outside of this area will be accepted, with an additional surcharge to cover petrol and travel time. Please ask for further details.

Please make sure a car parking space is reserved as close as possible to the venue as your character will have props and games to bring. Any costs for a parking space at a public car park or venue should be paid by yourselves. We will send for reimbursement if required.

When booking with us, we can’t guarantee at the stage of enquiry, which Performer will be attending your booking. All of our performers are trained to the  same high standard. We reserve the right to send trainee entertainer’s with your entertainer. This trainee will not be at an extra charge.

Payments

 A non-refundable 50% deposit is required in order to secure your party date and time. Bookings are not confirmed until such deposit is paid. You must ensure your child’s name and party date is included within the reference for all payments made. Once the deposit has been paid via bank transfer, please email admin@beyondthemagicevents.com to confirm as such. 

The remaining balance to be paid in full atleast 7 days prior to the event. If full payment has not been received we may have to cancel the booking. Final Payment requests will be sent out via email to the email you provided.

If you need to cancel, we need 14 days notice and will do our best to work with you to arrange a suitable alternative date or solution. If we need to cancel the booking for any reason, any fees paid will be refunded in full.

 Beyond the Magic Events is not liable for any costs associated with your party outside that of your entertainer. 

 

Our responsibility

We will contact you if for any reason we are running late, due to reasons out of our control and as we arrive at the venue. Occasionally we might ask for assistance with equipment, especially in extreme weather. We recommend you allow 15 minutes for all children to arrive, before your booking with us starts to account for any latecomers. 

We must not be left alone with the children at any time, even though we  (and an Assistant if required) have a DBS Certificate and Public Liability Insurance. Please make sure that there is suitable adult supervision at all times.

Although the activities will be agreed in advance with you, it may be necessary for us to alter these  on the day due to environmental issues, children’s attention spans, behaviour etc. We strongly recommend bouncy castles are deflated during the booking as they can create additional noise, distractions and disrupt child engagement

Your Responsibilities

Any inappropriate behaviour will not be tolerated.  If at any point we don’t feel safe, we will leave and refunds will not be given.

It is the organisers responsibility to ensure the children can have their photos taken, which may be used in future publicity or social media.  Please let us know in advance, if there are any children who cannot be included in photos for these reasons.  We are more than happy for you to share any photos or videos you take, please just make sure to tag Beyond the Magic Events.

Please make us aware of any changes to your booking with as much notice as possible. Last minute Package or Character changes may be accepted, but only if we have availability, and enough themed supplies for the event.

In the event of any accident, professional medical advice must be sought immediately.

If play parachutes are used then Guardians must be available at all times with the party or event booker to ensure that no child is left alone in the parachute and that parachutes are not placed over the head or wrapped around any child at any time. Parachutes should not be used to throw children up in the air and must be used responsibly as supervised by the booker and attending Guardians.

Any damage to our equipment or costumes will be chargeable at an appropriate amount for repairs or replacement. Any items which are lost or taken by a child, including costumes and accessories will be charged to the booker.

Certain activities or items may be developmentally advanced for some children with special needs, including significant group interaction and minimal supervision. Due to the nature of our activities and items, they may only be suitable for children with a certain level of social skills or physical ability capable of interacting with minimal supervision – therefore it is recommended for Guardians to use their discretion when booking particular activities or items. Our Performers are entertainers and are not permitted or indeed able to assume responsibility for the welfare of any children. Guardians must therefore be present and responsible for their children at all times. Beyond the magic welcomes children with special needs however Guardians of children with special needs must be present at the party and with their children throughout the duration of the activities assuming full responsibility for their children’s welfare during the activities, assisting them with the activities and satisfying themselves that the equipment and activities are suitable for their children to use.

Children remain the responsibility of their Guardians at all times. Guardians must ensure that no child exits the room/building without them. Performers provide entertainment and interaction however they do not provide child care, child‐minding or any other service which may require them to be in sole charge, supervision or custody of a child. Guardians are advised to be vigilant in ensuring that their child is present and not in distress at all times.

The Venue’s evacuation, Health and Safety and emergency plans must be complied with at all times by Guardians and children attending the party.

Beyond The Magic aims to provide a safe and fun environment for children however does not accept any responsibility or liability for accidents or injuries that may occur as a result of playing with items or for children slipping, tripping, falling and bumping into other children or items during the party/event.

These terms and conditions will be deemed wholly accepted as read, understood and agreed once a booking party has confirmed in writing via email with reference to these terms and conditions, that they wish to proceed with the booking and have made payment for the same.

These terms and conditions and all contractual bookings shall be governed by the laws of England and Wales and shall be subject to the jurisdiction of the Courts of England and Wales.

All of our costumes are professionally custom made and differ from copyrighted characters. No infringement of any Copyright or Trademark is envisaged or intended.
